Business case
The agency’s Salesforce org had no backup. It needed one, along with a way to archive older records, minimize storage use, and let business users look up archived data on their own. With budget and headcount both shrinking, the solution also had to run in the agency’s own AWS GovCloud account with very little admin time.
Technical needs
- Frequent Salesforce backups with dependable restore
- Archiving of older records to reduce Salesforce storage
- Deployment in the agency’s own AWS GovCloud account
- Access to archived records for business users, not just admins
- Reporting on how records change over time, using the agency’s own analytics tools
- Pricing that isn’t tied to user count
Key outcomes
- Hourly Salesforce backups for an org that previously had none
- 100% of backup and archive data kept in the agency’s own AWS GovCloud account
- Archived records that business users can find and retrieve themselves
- Historical reporting through Amazon Athena on open Parquet files
- Coverage for the legacy application now moving to Salesforce, with no second tool
The challenge: before GRAX
The agency had no backup protecting its Salesforce org. The org was also getting bigger, and a second large legacy application was partway through a move onto Salesforce.
There was no way to see how Salesforce records had changed over time, which matters for an agency that answers to auditors. Business users who needed older records had to go through admins to get them.
Budget and headcount were both going down, so a new tool couldn’t increase admin work or charge per user. It also had to run in a federally authorized cloud account the agency controlled, not on a vendor’s infrastructure.
The solution
Explore the products the agency uses to protect and archive its Salesforce data.
The results: after GRAX
GRAX runs in the agency’s own AWS GovCloud account, so backups and archived records never leave the agency’s security controls. Salesforce data is now backed up every hour. The other options the agency looked at backed up four times a day or less.
Before signing, the agency’s technical team tested GRAX on real data with help from GRAX Solution Engineering. They archived cases and files to the GRAX Data Lake, checked document counts, and pulled records back out. Leadership approved the purchase based on those results.
GRAX stores history as Parquet files, which the agency queries with Amazon Athena to see how records changed over time. Business users can open archived records themselves instead of asking an admin. GRAX pricing isn’t based on user count, so a larger team doesn’t mean a different bill. With GRAX, the agency met its goals for compliance, resiliency, and organizational value, protecting its Salesforce data hourly inside its own GovCloud environment while giving users direct access to the records they need.
